Deploy Unit

The status of ‘deployed’ is assigned through the Deployed Unit transaction or as an option with Place In Service transaction. Deployed status is designed to be assigned to internally owned ‘stationary’ asset items such as equipment or furniture or circulating asset that stays within the facility. A deployed status unit still retains a physical location (facility and area) assignment; but a user can be assigned as the custodian. For example, a workstation may be deployed and assigned to an employee. Lab equipment may be moved to different rooms and assigned to specific lab technicians. Deployed units are similar to a checked-out unit, but the actual location is still tracked. Deployed units can be moved, transferred, and maintenance activities can be completed.

Deployed status units will be displayed in the main Item Unit Grid view. There is also a separate grid view available to view just units with the deployed status. Find the Deployed status grid view on the left menu section under Check Out Management. A shortcut can also be added to the main Item Unit Grid View.

Be sure to enable the item template rule for enabling the unit to be deployed.

On the desktop interface, the Deploy Unit transaction can be opened from the left menu under the Check Out Management section.

On mobile, the transaction is listed in the main menu list in alphabetical order.

Be sure the Deploy Unit Transaction is enabled for the team roles for the users that require access.


Transaction Fields

Deploy To: Optional. Select a system or community user as the custodian. If no user is selected, the custodian remains the team based on the facility the unit is located.

Handle. Required. Select the unit to deploy. The unit must be in the status of ‘available’ and the item rule must be enabled for deployment.

Facility. Required. The current unit’s facility will default. The option to change the facility is available. If there is not a deploy to person selected, the facility’s team will become the custodian.

Deploy To Area. Optional. Assign the area location of the unit. Recommended if the unit is stationary. If a circulating asset and no area is assigned, recommendation is to assign a user custodian.


When the unit is submitted, it is updated to the status of ‘Deployed’. Any other assignments are also executed. The deploy date is recorded.

Use the Check In transaction to update the unit back to ‘Available’. If the unit is deployed again later, each deploy date is recorded. A report for deploy history will be coming soon.
